Managing Director Duties

Contents



1. Budget & Finance
  1. Maintain a current DCMI Master File of banking transactions and related spreadsheets of DCMI income and expenses based on information provided by ASIS&T;
  2. Provide administrative assistance to the Membership & Finance Committee Chair in preparation of the annual budget and quarterly budget reports;
  3. Immediately report to the DCMI Chair and the Membership & Finance Committee Chair on any exigent circumstances that significantly alter the fiscal status of DCMI or its projected budget;
  4. Prepare invoices for DCMI services;
  5. Administer the DCMI approved budget; and
  6. Liaise with ASIS&T on
    1. membership program income and notices;
    2. invoicing of organizational members;
    3. payment of service invoices;
    4. changes to income and expenses; and
    5. changes to the ‘chart of accounts’ on which DCMI’s budget is based.
2. Membership Programs
  1. Work with the DCMI Chair and the Membership & Finance Committee Chair on Governance Board annual review (and adjustment) of membership fee structure and member benefits/obligations; and
  2. Report to the Membership & Finance Committee on membership status as part of the quarterly budget reporting.
3. DCMI Website, Wiki, & Conference/Publishing Site Updates & Maintenance
  1. Website
    1. Schedule rebuilds (1-2 times a month) with staff at the National Library of Korea (NLK);
    2. Prepare website news announcements texts;
    3. Update HTML files for scheduled website updates;
    4. Schedule the website rebuilds with appropriate staff at the National Library of Korea (NLK);
    5. Work with Board chairs on information to be included in scheduled updates; and
    6. Supervise the monthly update of files on the staging server in preparation for scheduled updates.
  2. Wiki
    1. Supervise changes to the DCMI Handbook and assist Boards and standing Committees in development of “institutional memory”;
    2. Collaborate with the Chief Information Officer on maintenance of the wiki and the creation and maintenance of access control groups (WikiSysop); and
    3. Responsible for: (a) monitoring availability of all DCMI websites; (b) contacting appropriate people to remedy problems with websites; and (c) monitoring progress toward resolution of issues.
  3. Open Conference System (OCS)
    1. Manage and update the OCS based on plans developed and executed by the Conferences & Meetings Committee and the Annual Conference Committee.
    2. Assist Annual Conference Committee Chair in calendaring and monitoring the progress of the Annual Conference development;
    3. Assist the Executive Committee in planning scheduling and publishing the schedule and agenda of the DCMI Annual Meeting; and
    4. Train backup personnel for periodic management of the OCS.
  4. Open Journal System (OJS)
    1. Manage the update of the OJS through replication of peer reviewed program assets from the OCS;
    2. Assist in management and update of such other publishing activities as determined by Initiative; and
    3. Train backup personnel for periodic management of the OJS.
4. Webinar Series
  1. Negotiate with ASIS&T a webinar calendar based on a rolling 6 month planning window; and
  2. Assist the Education & Outreach Committee in determining the webinar topics and presenters and in execution of the webinars.
5. Annual Meeting/Conference & Regional Meetings
  1. Responsible for all logistical and fiscal planning for the annual and resional meetings.
  2. Oversee and support the Conferences & Meetings Committee planing for the 3-year conference window;
  3. Supervise process for securing venue and host (where applicable).
  4. Oversee and support the annual conference committee and subcommittees including recruitment of committee personnel.
  5. Develop content for the OCS website for the conference (including development of graphics);
  6. Develop and monitor calendar for peer review process in collaboration with Program Committee chairs;
  7. Develop and distribute promotional and sponsorship materials;
  8. Monitor and troubleshoot all conference activities during the event.
6. General Support for Boards, Committees & Task Groups
  1. Supervise Jisc mailman list maintenance
    1. Manage creation of new list requests and setup (owners, moderators etc); and
    2. Monitor moderator spam filters for lists (Jisc mail console);
    3. Manage membership additions/deletions for general DCMI groups.
  2. WebEx scheduled meetings
    1. Maintain the master calendar for WebEx meetings;
    2. Maintain download, archiving and deletion of WebEx meeting recordings.
  3. Report on an ongoing basis to appropriate Boards and standing Committees on the status of DCMI in terms of the Initiative’s membership & finance, conferences & meetings and its education & outreach activities.
7. Outreach
  1. Maintain spreadsheet of communications channels for DCMI announcements other than social media including DCMI memberships through announce@dublincore.net;
  2. Assist in preparation and distribution of announcements over announce@dublincore.net; and
  3. Assist with management of DCMI SocialOomph account.
8. Monitoring & Trouble Shooting
  1. Monitors DCMI's help email address and routes messages to appropriate people for resolution.
  2. Responsible for follow-through on all matters where users have problems with websites and registration systems.
  3. Maintains and monitors DCMI's "Master Calendar" of deadlines and events.
